This guide provides step-by-step instructions on creating questionnaire templates (with or without an answer key) and adding them to the candidate engagement funnel, specifically during the application stage. Now, we will show you how to add questionnaires to the candidate selection flow within the Kanban stages of your process, where you can include questionnaires with or without an answer key and even request video submissions from candidates.
Adding a Questionnaire with AutoCorrection in Kanban
It's important to note that if you want to send different questionnaires for different job positions, you will need to create a separate selection flow (Kanban) for each job position with the respective questionnaires you wish to send.
Additionally, this automation allows you to define which stage the platform should move the candidate’s card to based on the questionnaire's cutoff score. For example, we created a flow with stages to place candidates according to their responses:
First, you need to have the questionnaire template with an answer key already created in the settings. If you don't remember how to create questionnaire templates, just click here.
Once the template is created, go to Settings --> Candidate Selection Flow and choose the flow where you want to include the questionnaire.
Next, at the desired stage, click on "Add automation" and then on "Questionnaire."
Next, a screen with the questionnaire templates will open for you to select the desired one:
Then, the automation configuration screen will open where you can enter the introductory text for the candidate and define to which column the candidate's card should be moved based on whether they meet the cutoff score:
You can define to which column the candidate's card should be moved if they do not meet the cutoff score.
Now, in your selection flow stage (Kanban), the questionnaire will be automatically sent to the candidate as soon as they move to this stage, according to the automation configuration.
To add the automation to the next step, click on "Save":
IMPORTANT:
1. It is not possible to insert a questionnaire automation in the last stage of the process, before the "Hired" or "Removed" columns.
2. In a flow where questionnaire automation is present, it will not be possible to reorder the columns.
3. Only one questionnaire can be inserted per stage.
Adding a Questionnaire without AutoCorrection in Kanban
You can also create automation with open questionnaires, without an answer key and cutoff score. In this type of questionnaire, there is a question type where the candidate's response is a video that they can record directly on the platform. Below is the step-by-step process:
The process of creating the automation is identical to that of a questionnaire with an answer key: Settings --> Candidate Selection Flow --> Choose the desired flow and stage --> Add questionnaire automation --> Select the desired questionnaire template.
The main difference is that in this case, there is no auto-grading, so you only need to select which column the candidate should be automatically moved to after completing the questionnaire:
Requesting Video Recordings in Open Questionnaires
To request videos from candidates, simply select the "Recording" option in the response type:
The recording time is the same as in the application stage: two minutes.
TIP: It is possible to create more than one question with a video response in the same questionnaire, but be careful not to overwhelm candidates with this type of question.
Viewing Questionnaire Responses
In the usual place, under the "Applications" tab, you will find responses to all the questionnaires that candidates have completed.
Important Rules
For the proper functioning of the questionnaire distribution automation, some rules must be observed:
- When moving the candidate to a questionnaire distribution column, wait for the candidate to respond. If the candidate's card is moved to another column before their responses are recorded, the questionnaire link will be invalidated, and the candidate will no longer be able to respond.
- It is not possible to return the candidate to a questionnaire stage for them to redo it, as this invalidates the questionnaire link.
- It is not possible to place automation in the last stage of the process (before the final decision), as it is not possible to automate movement to the "Hired" or "Removed" stages.
